Onsite support
Once your course has been confirmed to run, you will be contacted by the Coordinator and the Assistant assigned to support your course. they will need you to state your requests for: materials, equipment, facilities and trips. Please answer these emails as soon as you can to ensure we can have support in place for your course.
Registers
You will be issued a paper register on the first day of your course. Please keep a record of attendance. Either scan and email, or take a photo and return the clear image to your co-ordinator or the Customer Services Team on reception at Granary Square.
ID cards
You will also be issued a UAL ID card if you do not already have one.
CSM learners will be issued with an ID card.
Please be aware that wrist bands are sometimes issued to learners instead of ID cards.
Classroom access
You may need to set your classroom door, or door to the area you are working in, to “Office Mode”. This means that Short Course learners can get through the door without swiping their card.

Library

Workshops and studios
Your Short Course Assistant will contact you to arrange a studio or workshop induction as required. All studios and workshops are used by the wider university so work MUST NOT be left in the rooms and all equipment and furniture must be left as it was found.
Please ensure that good studio practice is built into your courses and learners clean up as part of their class time.
Please also remember that learners cannot remain in classrooms, studios or workshops without a tutor. If they wish to work after class, they can use the library or communal spaces in the college
Classroom equipment
Please contact your Short Courses Assistant if you have a request for equipment as part of your course preparation. Each college has different contact details for AV and learning technology so the Short Course Assistant is the best point of contact for this.
Materials
Once received, the Short Course Assistant will compare your materials list with our existing stocks. Anything that is not already in stock will be ordered before the start date. All materials will be delivered to your room on the first day of the course. please refer to the catalogues of regularly used suppliers here:
For weekend-long or week-long courses, these can remain in the room for the duration of the course.
In the case of evening or Saturday courses, materials must be packed and tidied away and will be collected and redelivered weekly by the team.
At the end of your course, please pack materials back into the boxes provided. These will be collected by the Short Courses Team. Please factor in time to clear up the classroom and pack up. This includes putting any rubbish in the bin, washing paintbrushes etc. We encourage tutors to get students to assist – this is good studio practice after all!
UAL wifi
To connect to the wi-fi and log into a UAL computer, you will need to set up your UAL network account password. We recommend setting this up before the start of your course.
Step 1: your username is your UAL student ID number, for example, AE_1000003238
Step 2: to request a password follow this link and enter your UAL student ID
Step 3: after you have completed this, an email will be sent to your personal email address containing a single-use link to UAL Password Self Service (PSS). Select the single-use link and follow the instructions to create a password
UAL has the same wi-fi network across all buildings so this will automatically work when you visit all the colleges.
To connect: select ‘UAL-Wifi’ from network preferences, enter your UAL username and password. Please be aware that there may be some WiFi blindspots around each campus.

OPEN ROAMING
UAL have recently introduced Open Roaming, a service that allows you to connect to Wi-Fi networks seamlessly without needing passwords or additional credentials, using secure authentication via Google or Apple. This acts as a public Wi-Fi service and may benefit you and your students if other networks fail. To set this up, you just need to download the following app:

The Cloud
Public visitors can connect to WiFi via The Cloud by searching “_The Cloud” in their WiFi settings.
Printing
Please be advised that the Short Course teams do not have capacity to support tutors or students with printing. Short Course Tutors’ UAL cards allow unlimited free printing.
Short Course Students will need to add credit to their PaperCut account. and are advised not to upload excess as it cannot be refunded.
The process of loading credit on to the students card is quite longwinded and you may find it is much easier to ask learners to email you the documents they want printing and then send them to print from your account (which has free printing) .
Please consider using Padlet as an alternative to printing info for learners in the first instance.
Estates
To report a building fault or problem you will need to contact the estates team.
Please contact your Short Course Assistant if you have a request for estates as part of your course preparation. If you have estates issues during your class you can contact ext. 8000 or +44 (0)20 7514 8000 or estateshelpdesk@arts.ac.uk.
Health and safety
In case of an emergency evacuation, you should leave the building as soon as you hear an alarm following the signs and not stopping. Follow the guidance of the fire marshals.

If you require a first aider please contact reception at the site you are at in the first instance. They can contact the first aider onsite. See guidance for first aid and mental health first aid, including procedure for each specific site.
Any accidents or near misses need to be reported using the incident reporting process
Risk Assessments
We have recently reviewed the Risk Assessment processes across all UAL sites and will now be sending out RA documents with each course confirmation. Please read these though and add information when requested to ensure this is a suitable and sufficient Risk Assessment of the material, equipment and activities you have planned for the course. By receiving and returning these risk assessments, you are agreeing to follow their guidance and ensure the necessary information is given to learners as part of their course induction.
Trips
Please note: Trips will only be approved if already included in the course description
Please make sure you notify your Short Courses Coordinator and Assistant if you are planning to take your course out on a trip. You will need to complete and return the Trip form/Risk assessment at least 1 week before the trip and make sure that learners are reminded the day / session before via UAL email or Padlet
Courses with learners under 15 are not permitted to take trips offsite, Courses with learners 16-18 will need to be accompanied by a classroom assistant.
Life models
Please contact your Short Course Assistant if you require a life model for class and utilise the life drawing code of conduct with your class.

Planning
When you course is confirmed we will either request a copy of your planning or confirm that the planning documents we have already are still current. This is to ensure that we have full information about our courses available to inform the courses description online but so they can also be accessed if there are more specific learner enquiries, or if we need to find cover for a session or course.
If you already have a document that outlines the course content (this may well be something that you give to learners on the first day) please can you send us a copy. This could be a PDF, Word, Doc, PPT, Padlet, there is no need to reformat. If you do not already have a document that shows this information you may want to use one of the templets available on the tutor resources page of the hub.
Issue escalation
If you have any issues during your session please make sure that you notify the Short Courses team, even if we are not available at the time and the issue is resolved without assistance. For example, if the fire alarm goes off during an evening class. Even if the issue is resolved during the sessions it is important that we keep a record of any problems faced during a class in case of learner complaints.
