UAL Short Courses Tutor Job Description

Logins

Please ensure you can log in to your personal UAL account (this allows you to access your UAL emails, Wi-Fi, contracts, desktop computers, printers, and the library).

Your ESS login details are the same as your HPS login details.

Staff login

Your username is the first portion of your email address (e.g. Jasmith) and your password will be set yourself.

You can reset your password here if you forget it, or contact our IT team directly for log in issues.

Learner login

To connect to the wi-fi and log into a UAL computer, you will need to set up your UAL network account password. We recommend setting this up before the start of your course.

Step 1: your username is your UAL student ID number, for example, AE_1000003238

Step 2: to request a password follow this link and enter your UAL student ID

Step 3: after you have completed this, an email will be sent to your personal email address containing a single-use link to UAL Password Self Service (PSS). Select the single-use link and follow the instructions to create a password

UAL has the same wi-fi network across all buildings so this will automatically work when you visit all the colleges.

Feedback

Students will be emailed to give digital feedback on the last day of the course. Please prompt them to take some time in a break to complete this to support the development of the course.

You could add this image to your presentation, Padlet or Moodle to remind yourself and prompt learners. Maybe leave it on the screen during a break? 

Collated feedback will be sent out to tutors every term.

Under 18 courses: safeguarding

If you are teaching on a course with students under 18 you will need a DBS check (within the last 3 years) from UAL. Checks from other agencies or institutions are not valid. If you are not sure when you last had a check please contact HR to verify.

New tutors teaching under 15s will also need to take an online training module and provide a PDF certificate as proof of completion.

Communications with learners

Before course:

All information for learners before the course (including prep tasks, reading lists etc) needs to be included in the Materials section of the course description and will be sent to all learners who enrol on the course

During course:

UNDER 18 – all communications with learners needs to be via Customer Services. you will need to contact CST with your UAL email address on UALSCCST@arts.ac.uk

OVER 18 – Tutors are responsible to sending information about Trips, course materials, room changes etc to learners via UAL Email or Padlet. Please ask your SC assistant or Co- Ordinator for the emails for your class or ask the class to email you on your UAL email. NON UAL EMAIL ACCOUNTS MUST NOT BE USED TO CONTACT LEARNERS. Please make sure you BCC learners if mailing a group so addresses are not shared.

Recommended Out of Office Message:

Thank you for your email. Please be advised that this inbox is not monitored regularly. We do not respond to enquiries outside of the delivery of short courses. Please be advised that one-to-one student feedback is not provided by email. For any other enquiries relating to your course, including certificates or enquiries about future courses, please contact ualshortcourses@arts.ac.uk. 

After course:

If a learner requests a reference: We say no to all official statements, but we do allow tutors to make supportive comments via email, if the student is over 18. However, there is no requirement or expectation to do this. If the student is under 18 we can’t have tutors respond to them directly for safeguarding reasons (instead please forwards the email to CST who will be update the student).

You can email them a personal note (from your UAL email address, not your personal email) that highlights any positive statements, but please do not use the college name, like CSM, instead please use UAL short courses in any reference to the course and company

Student certificates

Students receive thier certificate if they attend at least 80% of the sessions. This will be sent via email after the course ends. We have partnered with Accredible to launch a new range of digital badges and certificates for Short Course students. Badges can be shared in digital portfolios, used on CVs and added to social media profiles such as LinkedIn.

Marketing your course

UAL Short Courses use organic and paid-for marketing activity for awareness building and engagement with prospective students and agents. We take a multi-channel approach, focussed on amplifying brand and subject areas, and implement a range of activity to support individual courses

Please feel free to promote you course on your social media. Post a link to the course on the UAL Short courses website Make sure to link / tag UALSC at www.instagram.com/ualshortcourses or any of the other social media links at the bottom of this page.

HPS contracts

It is important you accept your contract before you begin teaching. In advance of your course, your contract will be issued to your account on the UAL Hourly Paid System (https://hps.arts.ac.uk/Login?ReturnUrl=%2fhps%2fengagements). You will receive an email notifying you of this in your UAL email inbox.

You can view your payslips through your ESS login.

IT support

Please contact your Short Course Assistant if you have a request for IT as part of your course preparation.

Requesting Changes to Course Dates

As you can understand it is important to avoid disruption through changes to our advertised schedule. This helps to ensure a positive student experience and the ability to adhere to an optimum schedule. 

We understand changes cannot always be foreseen. However, where possible, tutors should request changes to dates or times when these are first issued, before a course is published.  

Once a course has been published, requests to amend dates or times will be considered on a case-by-case basis. This will take into consideration the specific circumstances and operational impact. Please be advised, where it is not operationally viable to reschedule a course, an alternative tutor may be sought.

Course status and development

Courses are scheduled when they are added to the Short Courses website or commissioned by a customer. At this point we will contact tutors regarding availability to teach, but this is not a contract.

Courses are confirmed or cancelled 1 to 6 weeks weeks before the date of the course depending on student numbers and various other factors. The minimum notice of cancellations is 1 week for online and Future Creatives courses and 2 weeks for all onsite courses. At this point staff receive a contract. For the full policy see Canvas.

The description of the course as shown on the Short Course website is the product that students are expecting. Please make sure that the course description for the course you are teaching is correct.

Marketing your short course

The below document has tips and guidance on marketing activity you can explore to support your short course. It contains useful information on ways you can work with the marketing team to promote your course using editorial, imagery and content, social media and the requirements for this.
